PERSON and JOB SPECIFICATION
The Quality Services Department is responsible for running the EFMD accreditation systems, particulary the EQUIS (European Quality Improvement System) institutional accreditation process for business schools in Europe and worldwide and EPAS (EFMD Programme Accreditation System) for international degree programmes in business and management. The Department is managed by a Directorate and 5 administrative people running the operations. Due to the growth of the market and the imminent maternity leave of one of the five people, it is now intended to appoint a sixth person to the team. For the initial months of the appointment, the new person will be expected to become acquainted with all the operational activities of EQUIS and EPAS.
Qualifications desired:
Minimum: Executive Secretary programme of 2 years
Desirable: University degree (or equivalent)
Experience:
Work experience in an administrative function
Job description:
- Administrative support to all operations within the Quality Services Department
- Support for the Directors’ activities
- Assistance to applicant institutions during the EPAS process (official communication, replying to queries, invoicing, etc.)
- Organisation of accreditation teams and their visits to business schools
- Follow-up activities from accreditation visits
- Organisation of meetings and conferences
- Maintenance of the record keeping of the various EPAS processes including the database, web pages and (hard and soft) archives
- Minutes taking
Skills required:
- Strong organisational skills
- Strong administrative skills with attention to detail; accurate
- Willingness to do simple administrative tasks (including logistics of travels, copying & binding of documents, filing, meeting preparations etc.)
- Strong interpersonal and diplomatic skills and hence the ability to communicate with all levels of people in a wide range of organisations (ability to express complicated matters in writing when corresponding with Schools/reviewers).
- Good communication skills (intensive phone communication)
- Expertise in the use of IT systems and especially Microsoft Office (Word, PowerPoint, Excel).
- Ability to work under stress in a multi-task environment
- Team spirit & open-minded
- Fluent in written and spoken English (other languages are an asset); ability to produce messages, minutes and other simple documents in good English.
Terms and conditions:
Length of contract: interim contract but may be extended into employee contract
Salary: negotiable dependent on qualifications and experience
Working hours: 09:00 to 17:30
