Profile Match: We seek a dynamic, highly organised individual to provide essential administrative and executive support to a fast-growing membership organisation working in the field of sustainability.
This position is ideal – but not restricted to – a recent graduate from a secretarial school or similar with up to 3 years of work experience. NOTE – due to unforeseen circumstances, we are looking for candidates who are available to start within the NEXT 4 WEEKS.

Job Description
Due to its rapid expansion, EABIS requires immediate administrative support in terms of office management, finances, human resources, governance events and assistance in the day-to-day work, travel arrangements and
calendar management of the Director General and the President. The Executive Assistant will report primarily to EABIS’ Director General.
We welcome expressions of interest from individuals with relevant knowledge and experience of working with Belgian legal / social frameworks, as well as those with a demonstrated set of skills in coordinating projects and people.
Successful performance of the administrative responsibilities will – over time – create opportunities for the candidate to combine these with more content-focused work linked to EABIS’ research, education and policy initiatives.
Key Responsibilities:
•
Provide general and administrative office support as well as agenda management and travel planning for the EABIS President, Director General, Corporate & Academic Directors.
•
Serve as the key administrative liaison point for external human resources and governance bodies – Social Security, Moniteur Belge, etc
•
Handle all internal processes involving HR reporting, monthly payroll and billing (after an introductory phase).
•
Manage incoming phone calls on the general line and for the Director General’s line after an introductory phase of 4 weeks
•
Maintain office supplies like stationary, office furniture, and other equipment
•
Support the team in preparing meetings at the EABIS Brussels office and other local / international venues through logistical support, participation and follow-up
•
Support the Academic and Corporate Directors in the financial overview and handling of membership invoices
•
Collaborate with EABIS’ management team and Communications Coordinator to prepare for Annual Colloquium and PhD Conference (September 21-22, Spain)
Additional information:
•
The position is based at our central office in Brussels, Belgium and is based on a CDD of one year with a notice period of 2 months.
•
This position will pay a monthly salary of EUR 1600 gross plus some benefits and require occasional travel. There is the possibility of extending the contract, depending upon performance evaluation and staffing needs.

Candidate’s Profile
•
Excellent level of oral and written French and Dutch are essential
•
Proficiency in English
•
Ability to prioritise and handle multiple tasks and projects in a demanding and fast-moving work environment.
•
Proactive team player with a strong work ethos, practical mind and excellent attention to detail.
•
Diplomatic and professional attitude working with senior representatives from business, academic and other groups
•
Knowledge of the Belgian legal and social framework
•
Advanced knowledge of Microsoft software programs & ability to learn new tools.
•
Interest and/or previous experience in business in society issues.
