Background:
To sustain EFQM in the face of rapidly changing needs for excellence approaches in the field of management, the Assistant plays a crucial role in assisting the CEO in his leadership of helping the EFQM to pursue its ambitions and achieve a unique global position to better serve the needs of the European business community as well as those of the public sector.
EFQM is supported by hundreds of key European corporations and is partnered with more than twenty national organisations. It is building new types of partnerships world-wide, extending its range of products and services, strengthening its value delivery network in the European area (including Eastern European countries), and choosing Internet as a key vehicle to promote its brand, market its services and develop its relationships with its members.
Role:
- To support the CEO in his daily activities;
- To act as the interface between the CEO and the internal staff in Brussels;
- To handle contract management and negotiations of key commodities for EFQM, e.g. training, consultants, printing, travel, events like the EFQM forum;
- To negotiate the purchase of various items and services with the help of the Chief Financial Officer.
Reports to:
Chief Executive Officer and Chief Financial Officer.
Key Responsibilities:
- Diary management:
- To manage the CEO's diary (internal and in relation to the external network);
- To co-ordinate with the help of the Heads of Department, the visitors diary and to issue a weekly visitors bulletin (with regard to member visits, NPO visits, representatives of the business community).
- Travel management :
- To manage the CEO travel arrangements (agenda, logistics);
- To co-ordinate the CEO travel with external parties.
- Visitors management :
- To help hosting external visitors;
- To co-ordinate with the help of the Heads of Department the member visit programme and issue a weekly bulletin.
- Internal administration:
- To review and set-up the CEO internal administration (meetings, speaking engagements - internal & external);
- To handle the CEO incoming and outgoing mail and follow up;
- To support the organisation of the Board and its Committees;
- To support the CFO with the organisation of the Governing Committee meetings and Board of Directors assemblies;
- To support the CFO with the EFQM operational plan and budget;
- To co-ordinate with the help of the Heads of Department the member visit programme and issue a weekly bulletin;
- To manage the travel arrangements and logistics of the member visit programme;
- To ensure good flow of information between the CEO, the Management Team and the Staff.
Purchasing/Financial Responsibilities:
- To have the ability to negotiate with suppliers;
- To manage supplier relationships;
- To keep a portfolio of purchasing offers and options;
- To manage "Contract Management";
- To regularly review the state of business affairs with the defined strategic suppliers.

Key competencies required:
- Account Management / purchasing skills:
- Ability to manage self-sustained projects in an international environment;
- Previous managerial experience (e.g., implementation of a change programme) in the corporate world will be helpful.
- Purchasing Competencies:
- Strategic thinking: ability to gather sellers/contractors data to negotiate the best deals;
- Define and agree clear and legally correct contracts;
- Good written skills in English in order to communicate promotional messages to targeted audiences.
- Communication Skills:
- Good oral and written skills in English in order to perform routine mail correspondence and to communicate with partners around Europe;
- Presentation and persuasive skills;
- Negotiation skills.
- Interpersonal Relationships:
- Ability to build a broad personal network within a member-based organisation and outside the organisation with key stakeholders;
- Ability to be work in a team environment.
- Ability to adapt and cope with change and work pressure:
- The small size of the organisation, the number of its constituencies and the multi tasks aspect of the function require from each team member flexibility, adaptability and personal drive.
- Languages:
- Fluency in English is a requirement. It is the working language and the main language of communication with members, customers and partners;
- Good knowledge of French and Dutch language is also a requirement.
- IT Literacy:
- The organisation uses desktop PCs and the MS Office range of products. Familiarity with these is preferred;
- Web-literacy and/or interest in this media are expected.
